To support our ambitious growth plans, we are now seeking an experienced Project Manager to work alongside the Head of Client Services in professionalising our approach to project management and in overseeing the delivery of multiple projects to clients in the life sciences sector.

We are looking for someone who brings a combination of project management and PMO experience who can lead by example on project management and governance best practice. The ideal person will be excited by the chance to define and scale a service and approach that underpins everything we do, and someone who desires real influence and ownership in a small and growing firm.

The Role:

This role will involve a blend of Project Management and PMO responsibilities including:

  • Initiate internal and external (client-facing) projects with the Programme Leaders or Head of Client Services, understanding the project scope to a detailed level.
  • Own the creation of detailed plans including task breakdowns, owners and timelines into our project planning/resourcing tool Forecast.app.
  • In some cases, own the project plan for engagements including ongoing management of milestones, related activities, managing the client and team.
  • Facilitate regular project meetings to monitor and discuss progress, risks, and issues. Escalate to the Programme Leader and Head of Client Services where appropriate.
  • Lead the identification, design, and implementation of project management processes, methods, tools, guidelines, and standards that constitutes an engagement framework for all projects.
  • Accountable for forward forecasting of projects to inform resourcing and revenue, including adding all project plans into online project planning/resourcing tool (Forecast.app).
  • Ownership of the resourcing plan and leads resourcing discussions to provide clarity of direction, identification of risks, upcoming needs and facilitating a solution where required.
  • Produce regular progress reports to the Head of Client Services across Rubica portfolio of external and internal projects, ensuring key internal processes and plans align to the purchase order, agreed scope of work and timelines.
  • Facilitate and promote a project-management-oriented culture and mindset. Acts as a change champion within Rubica around project management.

Who we are looking for:

This opportunity is for an experienced Project Manager who has previous experience working within a professional services or consulting environment. A genuine understanding of how to plan, resource, and execute projects effectively together with the ability to impart this expertise on others will be key. In addition, we are seeking the following:

  • End-to-end project management experience including building detailed/complex project and programme plans, managing budgets, managing internal and external resourcing.
  • PMO experience including overseeing the delivery of projects, analysis, reporting, and RAID management principles.
  • Strong interpersonal communication skills and adept at liaising with business or expert stakeholders; understanding respective drivers.
  • Comfortable working with and challenging senior team members to get under the skin of a project and planning out how it is going to run and be resourced effectively.
  • Strong stakeholder management and relationship building skills with a transparent approach to managing expectations
  • Active listening skills with the ability to draw out needs and priorities.
  • High attention to detail and tenacity to ensure timely completion of tasks.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Project, Microsoft Word, Excel, PowerPoint, and Visio. Able to pick up new systems/tools/processes quickly and efficiently.

The role is home-based, and candidates ideally need to be located within commuting distance to London/Reading area.
